Civora ("we," "our," or "us") operates the Civora field work management platform accessible at civoratech.in. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our services.

We collect the following types of information when you use Civora:

• Account Information: Name, email address, phone number, and role (engineer or admin) provided during registration.
• Work Entry Data: Project details, BOQ item entries, quantities, work stages, dates, weather conditions, contractor and supervisor names, labour count, machinery details, and remarks submitted through the platform.
• Location Data: GPS coordinates collected when engineers submit site entries, to verify site presence.
• Photos: Site photographs uploaded as part of daily work entries.
• Device Information: Browser type, device type, and operating system used to access our platform.

2. How We Use Your Information

We use your information for the following purposes:

• To operate and maintain the Civora platform and its features.
• To send WhatsApp notifications to administrators when engineers submit new entries.
• To send WhatsApp alerts to engineers who have not visited their assigned sites for 3 or more days.
• To generate project progress reports and BOQ tracking data.
• To verify engineer site visits using GPS location data.
• To improve our services and user experience.

3. WhatsApp Messaging

Civora uses the WhatsApp Business API (provided by Meta Platforms, Inc.) to send automated notifications. These include: entry-submitted alerts to administrators, entry-rejected alerts to engineers, welcome messages to newly onboarded engineers, and site-inactivity alerts to engineers. These messages are sent only for operational purposes and are not used for marketing. You may opt out of WhatsApp notifications by contacting us.

4. Data Storage and Security

Your data is stored securely on Supabase infrastructure (authentication, PostgreSQL database, and file storage), hosted in the Asia Pacific (Mumbai) region — your data resides in India. Our applications are served via Vercel. Access to data is restricted per organization at the database level using row-level security. We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of electronic storage or transmission is 100% secure.

5. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your data only in the following circumstances:

• With Meta (WhatsApp): Phone numbers are shared with Meta's WhatsApp Business API solely for the purpose of delivering notifications.
• With Supabase: Our cloud infrastructure provider, where application data is stored (Asia Pacific — Mumbai region).
• With Vercel: Our hosting provider, which processes request data in the course of serving the applications.
• With Resend: Our email delivery provider, which processes email addresses solely to deliver account-related emails such as password resets.
• Legal Requirements: If required by law, regulation, or legal process.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. Work entry data is retained for project record-keeping purposes. You may request deletion of your account and associated data by contacting us.

You have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate information.
• Request deletion of your personal data.
• Opt out of WhatsApp notifications.
• Withdraw consent for data processing at any time.

8. Cookies

Civora is a Progressive Web App (PWA) and uses minimal cookies and on-device storage for authentication, session management, and offline functionality (entries made without a connection are stored on the device until they sync). We do not use third-party advertising cookies or tracking technologies.

9. Children's Privacy

Civora is designed for professional use by civil engineers and construction industry professionals. We do not knowingly collect information from individuals under the age of 18. If we become aware that we have collected data from a minor, we will take steps to delete it promptly.
